Please read the following information to ensure that you fully understand all booking terms and conditions, how payments are made and our cancellation policy.
Disclaimer:
Any itinerary and pricing sent by Waterbuck Safaris Ltd is a proposal only. To avoid any confusion a written confirmation for any booking must be received, upon which an invoice will be sent to you. A tour is considered as booked when the requested transfer payment has been received into our bank account. Once your payment is received, the services required to operate your tour will be requested. If the service requested is not available, you will be notified and suitable alternatives and their availability and price will be communicated to you.
On receipt of your full payment, we will send vouchers, safari information, clothing lists, etc. Please ensure that you receive the information before you leave on safari.
Amendments
After your booking has been confirmed, should you wish to make any changes to your itinerary or wish for an earlier departure date, we will make every effort to accommodate your requests based on availability. However, there may be extra costs involved to accommodate your request. These costs are in addition to the fee quoted to you for your initial safari. Normal cancellation fees apply if you wish to postpone your departure.
Deposit & Balance policy
All new bookings will require a 50% deposit, payable on confirmation.
Final Balance is payable at 95 days before travel
Cancellation & No Show:
Reservations/Bookings that are canceled, reduced in length of stay, or reduced in the number of participants (hereinafter collectively called CANCELLATION) are subject to cancellation and No-Show fees. The scale of charges, expressed as a percentage of the tour prices, is as follows:
Should you fail to join a tour or join it after departure or leave before its completion, no tour fare refund can be made. (Please note that if the reason for the cancellation falls within the terms of any holiday insurance policy, that you hold, then the insurance company, subject to the terms of your insurance will normally refund any such charges to you)
For cancellations made within 30 days of arrival, 100% cancellation fees will be incurred unless:
• A client is unable to leave their country or enter the destination country due to COVID-19 travel restrictions / official travel advisories being in place. In this instance, bookings can be:
1. Postponed travel up to 12 months from the intended date of travel.
2. The funds paid can be held as a credit for future bookings, valid for up to 12 months from the intended date of travel.
Kindly note seasonal rate changes and any 3rd party fee increases will apply.
In these unpredictable times and for added peace of mind, we strongly advise guests who are planning to travel to secure Comprehensive Travel Insurance that will cover medical expenses, personal baggage, and money loss, as well as travel curtailment, regardless of any official COVID-19 travel advisory.
Postponement Policy:
Postponed bookings will be subject to the original terms and conditions under which they were booked.
Further cancellations on postponed bookings will be subject to the cancellation terms that apply at the time of the original booking and travel dates.
Price increase & third-party costs:
Any rate increase due to a change in season or third-party costs, for example, Park Fees will be to the client’s account.
Travel Advisories:
Any Guests in-country when a travel advisory changes, or due to depart within 7 days that are impacted by a new travel advisory will be dealt with on a case-by-case basis.
Travel Insurance:
We advise guests who are planning to travel to secure Comprehensive Travel Insurance that will cover medical expenses, personal baggage, and money loss, as well as travel curtailment, regardless of any official COVID-19 travel advisory.
Emergency Evacuation Insurance:
Most of our itineraries cover many remote locations where there are limited medical facilities.
We recommend that you are insured with private specialist local medical operators since the Government of Tanzania does not provide any emergency medical evacuation scheme. While international medical insurance is essential, it should be combined with a local scheme provided by a local medical evacuation operator to prevent delays in mobilizing effective emergency medical rescue. There are various schemes ranging from $60 and above depending on the areas visited, the number of days, and the respective age of the traveler
Flight bookings and Airport Transfers
The flight fare can only be guaranteed when the flight booking has been paid for in full and a ticket has been issued. Flight bookings cannot be transferred. 100% cancellation fees apply on all flights unless otherwise stated. If your flight arrives/departs on a different day/time than the rest of the tour you may incur a cost for an airport transfer.
We cannot be held responsible for any schedule changes, flight delays, or flight cancellations that occur to your flights and that consequently affect your travel arrangements.
Payment Options:
Cash – In US Dollars or equivalent in Tanzanian Shillings at the rate of the day
All dollar bills must be from the 2009 series and above.
We accept Master or Visa cards at a surcharge of 5% per transaction
Bank transfers – all bank charges to be borne at your end
VAT
The 2016 Finance Bill of the government of Tanzania has passed parliament and thus the result is that all tourism packages which were previously exempted from Value Added Tax (VAT) are now attracting 18% tax. This will effect:
a) Transportation/transfers
b) Activities such as game drives, walking safaris, cultural visits, canoeing, horse-riding, etc
c) Park Fees
This regulation has come into effect as of 1st July 2016
Baggage
For safety and because space is restricted, baggage in some charter aircraft is restricted to a maximum of 15 kg per person in a soft bag. This includes camera equipment and carry-on baggage. However, should the guests know in advance that the baggage will exceed the limit; we can usually book an extra seat for the bags on the aircraft, at an additional cost.
Refunds
Whilst the Company uses its best endeavors to ensure that all anticipated accommodation is available as planned, there shall be no claim of any nature whatsoever against the Company for a refund either in whole or part, if any accommodation or excursion is unavailable and a reasonable alternative is not found. If the guest is unable to use any service provided in the itinerary, then there are no refunds due.
Prices
We will do our utmost to keep to the prices as quoted. Any increase to reserve entry fees, taxes, and concession fees will be charged even if the booking has been previously confirmed and paid. We reserve the right to surcharge without notice.

All hotel and airfares are subject to change without prior notice. Waterbuck Safaris Ltd is not responsible for any delays, cancellations or change of schedules/timings/fares resulting from transportation; for example flight, ferry, steamer, or bus schedules. Cancellation terms and conditions apply.
Please be aware that arrival times and the itinerary may change due to unforeseen delays or events such as festivals and public holidays. However, we shall endeavor to ensure all sites are visited and that your tour runs as smoothly as possible but please note that Africa does not run like clockwork, therefore do not expect the streamlined travel arrangements associated with some other continents. Things do not always go to plan; there will be times when you will need to be patient and philosophical about your travels. Conditions in Africa can vary dramatically; for example, whilst we always try to use the best campsites, there is a big difference between those found in Eastern Africa to those found in Southern Africa, which are generally better.
Waterbuck Safaris Ltd shall not be liable for any loss or damage whatsoever arising from any cause whatsoever and without restricting the generality of the afore-going shall particularly not be responsible for loss or damage arising from any errors or omissions contained in its brochure or other literature, loss or damage caused by delays, sickness, theft, injury or death.
